Household Register Meaning And ICA Translation Requirements
Singapore does not issue this record, though many people search for a household register in Singapore. It is a family record kept by the government of another country. If yours is not in English, ICA wants a translation with it.
The register lists who lives in one home and how each person is related. China calls it the Hukou. Japan has the Koseki, Taiwan a household transcript, and Indonesia the Kartu Keluarga. ICA uses it to see family links clearly.
Getting the original can take time, so start early. China's copy comes from the local police station, and Japan's from the city office of your registered home. A Koseki goes to our Japanese translation services team for its special terms.

ICA Household Register Translation For PR, Citizenship And Family Passes
Family ties are hard to prove with one paper alone. Here is where an ICA household register translation is usually requested, and what the reviewing officer hopes to confirm from it.
-
PR Application
ICA may ask applicants from China, Taiwan or Japan for a household register to confirm parents, spouse and children. It is filed with an English translation.
-
Citizenship Application
Citizenship files often include the register so ICA can match each family member's details. Later entries, such as moves or name updates, need translating too.
-
Child's LTVP Or Citizenship
A child joining a Singaporean parent may need a register that shows the family link, especially when the birth record is brief or missing details.
-
MOM Dependant's Pass
MOM may ask for proof of relationship when an employer applies for a spouse's or child's Dependant's Pass. A Hukou member page often serves as that proof.
-
Marriage At ROM
Brides or grooms from Japan, Korea or Taiwan may show a register entry confirming they are single. ROM needs every non-English page put into English.
-
Estate And Inheritance Matters
Lawyers handling a will or estate in Singapore may use a household register to show who the heirs are. The translation keeps every entry in order.
-
Overseas Visa Applications
Families applying from Singapore for visas to Europe or Australia are often asked for the register. Our English version can serve those embassies as well.
-
Proving Family Relationships
Officers may ask for the household register to show who your parents, spouse or children are when other papers do not list them clearly.
Household Registration Documents We Translate Quickly
Family registers carry different names in each country, and each format takes its own time to translate. Here are the registers we see most. Knowing yours early helps you plan calmly for the deadline.
China: Hukou Booklet (户口簿)
Shows the head of household, each member's relationship, ID number, native place and move-in history. Often needed for translation for LTVP applications when family joins someone here.
Japan: Koseki Tōhon (戸籍謄本)
This is the certified copy of the family register. It records births, marriages, divorces and deaths for one family line. The shorter Koseki shōhon covers one person only.
Taiwan: Household Transcript (戶籍謄本)
Printed in traditional Chinese, it lists everyone in the home. We keep the names in the same order as the original, so an officer can follow it easily.
Indonesia: Kartu Keluarga
The family card lists the head of family, each NIK number, job, education and marriage status. One A4 page usually covers the whole family, so it moves quickly.
Germany: Family Record Book
Some German families keep a Stammbuch, a family book that holds civil records. Our German translation services team translates each entry and every official stamp inside it.
Other Family Books
Some countries use a family book or residence record instead. Send a photo and we will quickly tell you if we can translate it, and how long it will take.
Family Register Certificate Translation From Chinese, Japanese, Korean And More
Only a handful of countries keep family records this way, so the languages are specific. Each family register certificate goes to a native speaker who knows that registry's columns, stamps and old-style handwritten entries.
-
Chinese (Simplified)
China's Hukou booklet (户口簿) cover, owner page and member pages, plus police-issued household certificates (户籍证明)
-

Japanese

Korean

-

If your family book comes from somewhere else, our native team covers 100+ languages; just send a photo of each page.
Family Register Entries That Need Extra Care
A household register packs years of changes onto a few pages. Small mistakes here cause delays later. These are the lines that need the most care, and how we handle each one in your English copy.
| On The Register | What It Means | How We Translate It |
|---|---|---|
| Head of household (户主) | The main person the register is built around | Labelled clearly so every relationship makes sense |
| Relationship to head | Spouse, son, daughter, parent and so on | Translated exactly as recorded, e.g. Eldest Son |
| Cancelled stamp (注销) | A person moved out, married or passed away | Translated with the date and reason shown |
| Native place (籍贯) | The family's ancestral home town | Spelled in standard Hanyu Pinyin |
| Change and move-in notes | New address, new name or other updates | Translated in full where they appear |
| Red police or office seal | Proof that the copy is official | Written as [Seal: Police Station] in English |
Missing pages are the most common cause of delay, so send them all at once.

Notarise Your Household Register Translation For ICA
A Hukou is usually for a PR or citizenship file, and ICA asks for a private translation to be notarised. We take care of the notary and the SAL authentication, which every notarised paper has needed since 2019. Together they cost from S$162.20 per document.
Household Register Translation Cost In Singapore
Every page starts from S$25. The type of household registration you hold sets most of the price. A one-page family card costs far less than a thick Hukou booklet. Your fixed quote comes first.
What decides your final price
Number Of Pages
A Hukou has a cover page, a household page and one page per person. Each page with an entry is counted.
Notarisation
Most ICA uploads need a notary stamp. Notary plus SAL authentication starts from S$162.20 per document, whatever the page count.
Express For Tight Dates
Single-page registers like a Kartu Keluarga can often be done the same day. The express rate is the translation fee plus 50%.
Overseas Use
Every notarised register is also authenticated by SAL, so for registers going abroad that same step adds an apostille certificate at no extra stage.
Certified True Copy
Some offices want a certified copy of the family register itself. A notary plus SAL can certify one from S$172.20 per document.
Courier Delivery
We email the PDF to you. If you need paper as well, a printed copy by courier starts from S$15.

Frequently Asked Questions
01My household register is several years old. Will it still do?
We can translate any clear copy. But ICA may want an up-to-date register that shows your current family. Check your checklist, and order a fresh copy early if needed, since that step happens in your home country.
02Some names in my Hukou have no English spelling. How do you write them?
We use each person's passport spelling. If someone has no passport, we use standard Hanyu Pinyin. You see every name in the draft before the notary stamps it.
03Does my register need SAL authentication for ICA?
Yes, as part of the notary step. Since 2019, SAL must authenticate every paper a Singapore notary signs, and our notarisation price already covers it. ICA accepts a notarised private translation as one route.
04My Kartu Keluarga is an e-version with a QR code. Can you translate it?
Yes. We translate the printed text and note that the QR code is there. Whether ICA accepts the e-version is ICA's decision, so please check your checklist.
05Can I send only the pages for me and my child?
You can, but it may cause delays. ICA often wants the head of household page too, because it shows how everyone is related. Translating the full register is the safer plan.
06My deadline is tomorrow. Is that possible?
Tell us at once. A one-page register can often be done the same day with express. A long Hukou may need 1–2 working days, and we will be honest about what is possible.
07What if ICA asks for a change to the wording?
Send us the officer's message and we update our translation at no cost. A new notary stamp may be needed. The final decision always rests with ICA.
08Can you translate the register into a language other than English?
Yes, if an overseas office needs it. Tell us the language and the country. We confirm we have a native translator before you pay.
09What is a household register, and is it the same as a birth certificate?
A household register is a family record that lists everyone under one home and shows how they are related. A birth certificate records one birth only. ICA may ask for both, and each needs its own English translation.
10How much does household register translation cost in Singapore?
Translation starts from S$25 per page. A one-page family card costs less than a full Hukou booklet, and notarisation with SAL authentication starts from S$162.20 per document. We confirm a fixed total after counting your pages.
11Where do I get a household register for my ICA application?
It comes from the authority in your home country, such as the local police station for a Hukou or the city office for a koseki. We cannot issue one, but we translate it once you have it. If the booklet is overseas, ask family to send clear photos of each page.
