Citizenship Paper Translation That Meets ICA Standards

Take a typical case: Nurul was born in Ipoh and has lived here as a PR for years. When she sat down to apply, half her papers were in Malay. She needed a translator for citizenship papers she could trust.

Her school results were in Malay, so she began with an SPM result slip translation. ICA wanted every non-English part in English. As the ICA website explains, it accepts a translation from the embassy, from a notary public, or a private translation that a notary public has notarised.

One more paper came up later in her story. If citizenship is granted, ICA may ask for proof that she gave up Malaysian citizenship. That form is in Malay, and our Malaysian Form K translation for citizenship covers it when the time comes.

Papers In Nurul's File

  • Malaysian birth certificate with Malay text
  • SPM certificate and result slip
  • Marriage certificate from Malaysia
  • Name change record, if there is one
  • Borang K, if citizenship is granted

Six Lessons For Getting Citizenship Papers Right

Nurul made two small mistakes before she came to us, and both cost her time. These six lessons from her file can help you get your citizenship papers translated right the first time, with fewer follow-up questions.

  • Gather Papers Early

Getting a fresh copy from Malaysia or China can take weeks. Order those first. The translation itself is the quick part.

  • Keep Originals Safe

Some offices want a copy that matches the original. A certified true copy from a notary lets you keep the real paper safely at home.

  • One Spelling Per Name

Nurul's name appeared in three spellings. We used the one in her passport on every page, with a short note where the original differed.

  • Translate Stamps Too

Stamps, seals and notes in the margin are part of the paper. Leaving them out can make ICA come back with questions.

  • Name Files Clearly

Save each PDF with a plain name, like Nurul birth certificate. It makes matching files to ICA's list much faster.

  • Read Before The Stamp

Check names, dates and places in the draft. Once the notary stamps it, any change needs a new notarisation and more time.

A Two-Day Timeline For Citizenship Papers

Nurul's citizenship application papers moved like this. Most sets like hers take 1 to 2 working days. Single-page papers can often go express the same day when ICA has given you a tight date.

Need it faster? Ask for same-day express on WhatsApp.

  1. Monday, 9 am

WhatsApp Photos Of Your Citizenship Papers

Nurul sent photos of five papers and her passport page in one chat. Having everything together let one team check names across the full file.

  2. Monday, late morning

Accept One Quote For The Citizenship Set

She received one price for the whole set and a delivery date. She agreed, and the work began. No extra charges were added later.

  3. Monday afternoon

Get Each Citizenship Paper Translated Natively

A Malay reader handled her school and birth papers. The English followed her passport spellings letter by letter, including her father's name.

  4. Tuesday

Check Each Citizenship Draft And Approve It

Nurul read each draft and asked us to match a town name to her passport. After that fix, her final English files were ready.

  5. Tuesday evening

Notarise Your Citizenship Translations For ICA

ICA wants privately made translations notarised for a citizenship file, so Nurul needed this step. We arranged the notary and the SAL check that all notarised papers have needed since 2019, from S$162.20 per document. Five clearly named PDFs then reached her inbox for the ICA portal.

Translation Cost For Citizenship Application Papers In Singapore

Translation starts from S$25 per page, and notarisation including SAL authentication is added from S$162.20 per document. Your fixed quote always comes before payment. Here is what moves the final number for a citizenship file.

What decides your final price

01

Number Of Papers

Each paper is notarised on its own. A file with five papers carries five notarial fees, so we first tell you which ones truly need translating.

02

Pages In Each Paper

A one-page birth certificate is quick. A long transcript or family book has more pages, and each page is priced.

03

Language And Script

Malay and Chinese papers are common. Rarer languages or old scripts need more care and may cost a little more.

04

The Route ICA Accepts

Your quote covers translation plus notarisation, the route ICA accepts for a private English translation for ICA. SAL authentication, required on every notarised paper since 2019, is already included.

05

Certified True Copies

If an office wants a copy that matches your original, a certified true copy (notary + SAL) costs from S$172.20 per document.

06

Speed And Delivery

Express adds 50% for urgent papers. Printed copies by courier start from S$15. The notarised PDF is always included.

Frequently Asked Questions

Still have a question?

Send it with a photo of your document. A real person replies.

Ask on WhatsApp
01Does a good translation make ICA more likely to approve my citizenship?

No. ICA decides on its own review of your whole case, and no translator can change that. A clear notarised translation only makes sure officers can read your papers. Anyone who promises approval is not being honest with you.

02My SPM certificate is in Malay and English. Does it still need translating?

Usually only if key parts like grades, stamps or notes are in Malay alone. Send us a photo and we will tell you before you pay. If it is fully in English, you can upload it as it is.

03Can I reuse the translations from my PR application years ago?

Possibly, if the papers and your passport name are still the same. ICA makes that decision, so check your list or ask ICA directly. If anything changed, like a new spelling, order a fresh translation.

04My husband and I are applying at different times. Can you keep our papers matching?

Yes. Tell us about the earlier order, and we use the same spellings and terms again. That keeps family names and place names identical across both files.

05Do you submit my application to ICA for me?

No. We translate your papers and arrange notarisation. You fill in the form and upload the PDFs yourself on ICA's portal. We are happy to explain which PDF fits which line on your list.

06ICA asked for Borang K after approval in principle. How fast can you translate it?

Borang K is usually one page, so same-day express is often possible at 50% extra. Send a clear photo and your ICA deadline. Without express, it takes 1 to 2 working days.

07Is a notarised translation enough, or do I also need my embassy?

ICA accepts any one of three routes: the embassy, a notary public, or a private translation notarised by a notary public. Our service is the third route, so you do not need the embassy as well.

08What happens if ICA wants a change to the translation?

Forward ICA's message to us. If the change is to our English wording, we fix it free and send a new notarised PDF. If ICA wants a different paper, we quote for that one on its own.

09Can my home country's embassy translate my documents for citizenship?

Yes. ICA accepts a translation made by the embassy of the country that issued the paper. Embassy fees and waiting times vary, so some applicants choose a translation notarised by a notary public instead. Both routes are accepted.

10Do my children's documents also need translating if they apply with me?

Yes, if any of their papers are not in English. Each family member's birth certificate, school record or adoption paper needs its own English version. Sending them together keeps every name spelt the same across the whole family file.

11Can a relative or friend translate my documents for ICA?

Not on their own. ICA accepts a translation by the issuing country's embassy, by a notary public, or a private translation that a notary public has notarised. A home-made translation without a notary seal does not fit any of those routes.
